PROTOCOL OFFICER REQUIRED- GRADE IB 3 BRITISH EMBASSY, JAKARTA
Qualifications:
- Have 5 years work experience.
- Preferably have experienced a similar role in another Embassy or large organisation.
- Be willing to start the employment with a fixed two-year direct contract (NOT via outsourcing agency).
- Be ready to work immediately.
- Min Diploma Degree D3 any major .
- Be computer literate and familiar with MS Office.
- Be a strong communicator who is fluent in English (spoken and written) and Bahasa Indonesia.
- Have excellent attention to detail, as this position will involve managing data to a high standard of accuracy on a daily basis.
- Have the ability to work with people from any level and background.
- Be flexible, resilient under pressure and decisive with a proven track record of delivering results to a high standard within tight deadlines.
- Have personal drive and the ability to be a self-starter as well as a team player.
Job Description and Responsibilities:
EVENT ORGANISING (MAINLY AT THE RESIDENCE)
- Organize the Ambassador’s representational events: Breakfast, Lunch, Dinner, Supper, Reception, Meetings, working closely with the Residence Manager and other Residence Staff.
- Assist in organising other Embassy receptions in terms of: venue, invitations, and RSVP for acceptance, including conducting quality-check on all these elements.
OFFICE ADMINISTRATION
- Working with the Ambassdor and Deputy Head of Mission’s personal assistants, provide additional administrative support including but not limited to: arranging calls and travel bookings, assisting with visit planning.
- Use computer word processing, spreadsheet, and database software to prepare reports, letters / memos, documents, invitations, as well as to do a proper filing and backup of electronic files.
- Update and ensure the accuracy of the organisation’s databases.
- Sort incoming mails, faxes, and courier deliveries for distribution as well as prepare and send outgoing faxes and mails.
The successful candidate will be subject to internal confirmation of a background and security clearance and, in relation to this, will need to arrange his own Police Certificate. You must also have authority to work in Indonesia in order to apply.
